Privacy Policy

1. Who we are

FairBooks (ABN 82 310 114 471) operates the website at fairbooks.com.au and the application at app.fairbooks.com.au. In this policy, "we", "us", and "our" refers to FairBooks.

We handle your personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

This policy should be read together with our Terms and Conditions.

2. What information we collect

We only collect personal information that is reasonably necessary to provide the FairBooks service. This includes:

  • Account information -your name and email address when you register.
  • Business details -your trading name, ABN, address, phone number, and bank details that you enter in settings.
  • Customer data -names, email addresses, ABNs, and addresses of your customers that you add to FairBooks.
  • Financial records -invoices, expenses, and related documents you create.
  • Usage data - basic server logs including IP addresses, browser type, and access times.
  • Analytics data - anonymous, aggregate usage statistics such as page views, session duration, referrer URLs, browser, operating system, device type, and approximate country. This data cannot be used to identify you. See section 4 for details.

We collect this information directly from you when you register, use the Service, or contact us. We do not collect personal information from third-party sources.

3. How we use your information

We use your information to:

  • Provide and operate the FairBooks service, including generating invoices and reports.
  • Send transactional emails -invoice delivery, authentication, and account notifications.
  • Maintain the security of your account and our service.
  • Respond to your support enquiries.
  • Analyse anonymous usage patterns to improve the product (via self-hosted Umami analytics).
  • Comply with legal obligations, including responding to lawful requests from regulators or law enforcement.

We do not use your information for marketing, advertising, or profiling. We do not sell or share your personal information with third parties for their own purposes.

4. Cookies and analytics

The FairBooks application uses a session cookie to keep you signed in. This is a strictly necessary cookie and cannot be disabled while using the Service.

Our marketing website (fairbooks.com.au) loads fonts from Google Fonts. When you visit the marketing site, your browser makes a request to Google's servers, which may log your IP address. Google's privacy policy governs their handling of this data.

We use Umami, a self-hosted, privacy-friendly analytics tool, to understand how FairBooks is used so we can improve the product. Umami collects anonymous, aggregate data including page views, session duration, referrer URLs, browser type, operating system, device type, and approximate country. Here is what you should know:

  • No cookies - Umami does not use cookies or any form of browser storage.
  • No IP addresses stored - your IP address is used briefly in memory to determine approximate location, then immediately discarded. It is never written to a database or log file.
  • No personal data - visitors cannot be identified or tracked across sites. There is no fingerprinting.
  • Self-hosted - all analytics data is stored on our own Australian infrastructure and is never shared with third parties.
  • Aggregate only - we see page view counts and general usage patterns, nothing that could be linked to an individual.

We do not use advertising cookies or third-party tracking pixels on either the marketing site or the application.

5. Third-party services

We use a small number of third-party service providers to operate FairBooks, including for hosting, database, email delivery, and file storage. All services that process your data are hosted in Australia. Some of these providers are headquartered overseas; see section 6.

We do not share your data with any other third parties.

6. Overseas disclosure

Your account data, financial records, and analytics are stored and processed in Australia. Some of our service providers are headquartered overseas. While their services operate from Australian regions, they may have the technical ability to access data from overseas locations in accordance with their operational and legal obligations.

Our marketing website (fairbooks.com.au) and documentation site (docs.fairbooks.com.au) are static, read-only sites hosted on Azure infrastructure in Hong Kong. These sites do not collect, store, or process any personal data. When you visit these sites, your IP address will be received by the hosting servers as part of the normal operation of the internet, but no access logs or analytics are recorded.

When you visit our marketing website, your IP address may also be sent to Google's servers (which may be located outside Australia) to load fonts.

We do not otherwise transfer your personal information outside Australia.

7. Data storage and security

Your data is stored on servers located in Australia. We protect your information using:

  • Encryption in transit (HTTPS/TLS) and at rest.
  • Secure password hashing and two-factor authentication.
  • Role-based access controls within organisations.
  • Regular security reviews of our application code.

No system is completely secure. While we take reasonable steps to protect your information, we cannot guarantee absolute security. You are responsible for keeping your login credentials confidential and enabling two-factor authentication on your account.

8. Data retention and export

We retain your data for as long as your account is active. If you close your account, we will delete your personal information within 30 days, except where we are required by law to retain records.

Before closing your account, you may request an export of your data. We will provide your data in a commonly used, machine-readable format within a reasonable timeframe.

FairBooks is a tool to assist with record keeping, but it is not a substitute for your own tax record obligations. You are responsible for maintaining your own records as required by the Australian Taxation Office (ATO), including retaining records for the required period (generally 5 years). We do not guarantee the availability or retention of your data for ATO compliance purposes.

9. Your rights

Under the Australian Privacy Principles, you have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate information.
  • Request deletion of your information (subject to legal retention requirements).
  • Request an export of your data in a portable format.
  • Complain to the Office of the Australian Information Commissioner (OAIC) if you believe we have breached your privacy.

We will respond to access and correction requests within 30 days. To exercise any of these rights, contact us at privacy@fairbooks.com.au.

10. Data breaches

In the event of a data breach that is likely to result in serious harm, we will notify the OAIC and affected individuals as soon as practicable, as required by the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth).

11. Changes to this policy

We may update this policy from time to time. If we make significant changes, we will notify you via email at least 14 days before the changes take effect. The "last updated" date at the top of this page reflects the most recent revision.

Your continued use of the Service after changes take effect constitutes acceptance of the updated policy. If you do not agree with the changes, you may close your account.
